Give every display one job

A backdrop should establish the brand from across the room. A retractable banner can explain one service or offer. A counter can support conversation and store materials. Repeating the same dense design on every surface wastes the available hierarchy.

Prepare artwork at final size

Event graphics are much larger than screens. Use vector logos and high-resolution images, keep important content inside safe areas and account for material hidden inside retractable hardware. Review a scaled proof from several feet away.

  • Venue footprint and height restrictions
  • Final-size artwork and bleed
  • Cases and transport weights
  • Setup instructions for staff
  • Replacement graphic availability

Design for reuse

Avoid dates and event-specific wording on the largest components unless the display is truly one-time. Use smaller replaceable panels for changing messages. Label cases and photograph the packed system so the team can confirm nothing is missing before shipping.

Complete a practice setup before the event and time the process with the same number of people who will be onsite. Confirm sightlines from the aisle, lighting near the booth and access to power. Pack spare fasteners, approved cleaning supplies and a printed contact sheet with the final layout.
